Our Des Moines client is looking for an Administrative Assistant – Facilities Management to be the primary interface with public visitors. This position will work independently at the front desk to assist visitors, provide campus wayfinding, and manage visitor badges. The position will also serve as backup to the administrative staff in the Facilities Management department. Interested? Reach out today!


  • Greet and direct visitors while maintaining records of those visitors 
  • Maintain campus access and security and send out badge number updates
  • Answer phones and forward callers or take messages 
  • Maintain a clean and professional work environment
  • Monitor work requests, converting them into active work orders, and issuing work order assignments
  • Document warranties within Asset Essentials
  • Update parking registration database
  • Monitor shared mailboxes and respond to questions as needed
  • Manage website content 
  • Manage policies and procedures in PolicyStat
  • Issue badges and parking permits in accordance with department policies and procedures
  • Backup administrative staff as needed


  • High school diploma or equivalent is required; a bachelor’s degree is a plus 
  • 3+ years of office or administrative support experience or equivalent education/experience
  • Front desk, reception, or customer service experience in an office environment
  • Excellent communication and interpersonal skills
  • Skilled in organizing and managing multiple files, tasks, projects, schedules, and information simultaneously
  • Strong attention to detail and accuracy
  • Good computer skills, skills in Outlook, Microsoft Office Suite and Adobe Acrobat
  • Experience hosting/managing virtual meeting platforms such as Zoom and Microsoft Teams
  • Ability to maintain confidentiality

Work Model:

  • On-Site
  • Monday – Friday
  • 7:30AM – 4:00PM
