The Overnight Administrative Assistant plays a vital role in ensuring smooth operational processes during nighttime hours. Work model:
- On-Site
- 2 shifts: Monday – Thursday 4:00 PM – 3:00 AM, Friday – Sunday 4:00 PM – 3:00 AM
What you will do:
- Deliverprofessional customer service and foster positive interactions while providing administrative support to the construction site project team
- Process day-to-day administrative tasks, including mail, overnight mailings, photocopying, filing, sending faxes, updating phone lists, processing invoices, and ordering business cards
- Managethe project calendar, meeting schedules, and project contacts daily
- Handleexpense reports for the Project Executive and/or Manager
- Set upand administer project-specific tools and materials, such as project calendar programs, conference rooms, and parking/access cards
- Preparewritten correspondence for project staff, including memos, emails, presentations, and other project-specific documents
- Createand maintain project organizational and seating charts
- Coordinatetravel reservations, business accommodations, itineraries, and agendas
- Organizeproject-related meetings, assist with logistics, and record, transcribe, and distribute meeting minutes
- Assistwith general office inquiries from staff, clients, customers, and others, providing proactive escalation as needed

- Collaboratewith the Project Manager to establish and maintain protocols for project site visitors
- Promotea positive environment through professional interactions with owners, project team management, Joint Venture Partners, and vendors
- Supportad hoc requests related to onsite technical issues affecting work productivity, coordinating with the Information Systems (IS) team as necessary
- Conductproject-specific orientation and transitions for project staff
- Maintainan organized project filing system and coordinate document retrieval schedules
- Ordersupplies to meet project office needs
- Contributenew ideas for continuous improvement and effectiveness of the Administrative team
- Assistwith special projects and coordinate events
- Perform other activities, duties, and responsibilities as assigned
What you will need to be successful:
- High school diploma or GED and a minimum of 1 year of relevant administrative assistant experience in construction or a related industry
- College degree and/or relevant administrative skills certification is a plus
- Prior experience in the construction industry, a plus
- Demonstratea high degree of detail, accuracy, and organizational skills
- Maintainconfidentiality of information
- Work with some direction and oversight and as part of a team
- Exhibitan approachable, proactive, positive, and professional attitude
- Showprofessional verbal communication and written business communication skills
- Conductresearch and proofread effectively
- Demonstrateactive listening skills and follow through on commitments
