We are seeking a detail-oriented and organized Part-Time Office Managerto oversee our office’s daily operations. Work model:
- On-Site
- Monday-Friday
- 20 hours/week
What you will do:
- Offer administrative support and coordinate with internal business units, including the Real Estate Brokerage and Property Management teams
- Aid the Property Management team with tenant, owner, and vendor communications
- Create and distribute building communications
- Follow up on daily service and maintenance requests
- Maintain and update vendor files (insurance, W9s, and other required documentation)
- Support the Real Estate Brokerage team with internal and client communications
- Help the Managing Director prepare reports, listing materials, and real estate forms
- Organize weekly advisor meetings and agendas
- Maintain and update client databases
- Assist the accounting team in handling vendor invoices and payments
- Contribute to designing and implementing office policies, standards, and procedures
- Welcome clients and visitors upon arrival at the office
- Schedule and organize conference rooms, meetings, and events
- Oversee office/kitchen supplies, inventory, and equipment
- Ensure the office remains clean and organized
- Coordinate with the IT infrastructure vendor
- Manage and schedule travel arrangements for Managing Directors and Advisors

- Excellent communication and human relations skills with the ability to work in a fast-paced and entrepreneurial environment
- Customer-focused and centered approach
- Capability to exchange ideas, information, and opinions with team members to formulate policies and programs for joint decisions and solutions
- Skill in establishing a cooperative working atmosphere among team members
- High level of organization, professionalism, and attention to detail
- Ability to maintain a calm demeanor in tense and pressure situations
- Previous sales and negotiation experience is helpful
