What You Will Do:

  • Provide proactive, personalized support to assigned leaders, ensuring routine and complex matters are handled accurately and promptly
  • Manage and own complex executive calendars, resolving conflicts and prioritizing tasks effectively
  • Coordinate meetings including invitations, logistics, agendas, materials, and follow-up actions
  • Plan, book, and manage domestic travel arrangements aligned with leader preferences and company policies
  • Prepare, submit, and track expense reports and invoices with accuracy and timeliness
  • Manage email and correspondence, routing requests and following up on time-sensitive actions
  • Create, format, proofread, and distribute presentations, reports, and materials using approved templates
  • Coordinate logistics for corporate, industry, and internal events in partnership with relevant teams
  • Triage email, meetings, voicemail, and requests to identify urgent issues and handle them appropriately
  • Provide backup support to team members and complete ad hoc administrative projects as needed
  • Maintain strict confidentiality and communicate professionally with all stakeholders
  • Exercise independent judgment and deliver high-quality results with minimal guidance

What You Will Need to Be Successful:

  • Associate degree or five years of administrative support experience supporting managers or executives
  • Bachelor’s degree preferred
  • Three years of experience as an Executive Assistant strongly preferred
  • Experience supporting senior executives in a fast-paced environment with confidentiality and professionalism
  • Advanced proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
  • Comfort with technology and AI-enabled tools to increase efficiency
  • Excellent verbal and written communication skills for clear business correspondence
  • Exceptional organization, attention to detail, and prioritization skills
  • Proven discretion when handling sensitive information
  • Strong relationship-building and customer service skills
  • Ability to anticipate issues, solve problems, and adapt quickly to changing priorities
  • Ability to work independently and collaboratively within a team
  • Availability for occasional urgent requests beyond normal hours; travel may be required for events
